Job purpose:
The Offshore Project Coordinator is a mid-level role that supports the delivery of high-quality market research projects across multiple markets. While not responsible for project ownership, this person plays a critical role in supporting Project Managers and Directors with coordination, fieldwork logistics, supplier communication, and proposal support. This role suits someone with a few years of relevant experience, strong organisation skills, and the ability to juggle multiple projects simultaneously.
Key responsibilities:
Project coordination
- Attend kick-off calls and meetings, take notes and track progress accordingly
- Create update sheets and fieldwork schedules for live projects
- Liaise with suppliers, managing recruitment, materials, scheduling, and ensuring compliance with timelines.
- Track project timelines, and help prepare project status updates.
- Conduct initial checks of screeners, questionnaires, and research materials for accuracy.
Proposal support
- Support proposal development through desk research and feasibility checks.
- Help prepare and gather RFQs
- Help negotiate costs with suppliers and generate accurate costings
Supplier management
- Build positive working relationships with suppliers and freelancers.
- Hold suppliers accountable for timelines, deliverables, and quality.
Compliance & data protection
- Ensure AE reporting processes and documentation are correctly followed during projects.
- Maintain project documentation and compliance materials as per internal SOPs.
- Assist with quality control and compliance documentation.
- Assist in preparing projects for internal audits.
Efficiency & tech integration
- Actively use company-approved AI tools to enhance speed, accuracy, and workflow quality.
- Identify opportunities to automate repetitive tasks or improve team efficiency.
- Contribute ideas for improving project management processes and templates.
Team culture & collaboration
- Communicate clearly and consistently with onshore team members (UK/US).

Knowledge, skills & experience:
Essential:
- 1–3 years of experience in market research project coordination, operations, or similar roles.
- Strong understanding of qualitative and/or quantitative fieldwork processes.
- Experience working with external suppliers/stakeholders and managing multiple deadlines.
- Highly organised and able to prioritise tasks across concurrent projects.
- Clear written and verbal communication in English.
- Proficiency in Microsoft Office and collaboration tools (e.g., SharePoint, Teams).
Desirable:
- Exposure to healthcare/Pharma market research.
- Familiarity with Pharmacovigilance (AE reporting) protocols.
- Prior experience supporting costing or feasibility during proposals.
- Experience using AI or automation tools to streamline project tasks.
